How to Choose a School Management System in Kenya: A Practical Checklist
Before you sign up for any school management software, use this checklist to compare systems on what actually matters: fees, exams, data, training and support.

A school management system can save your administrators hours every week — or become an expensive tool nobody uses. The difference usually comes down to how carefully the system was chosen. This checklist will help you compare options on the things that matter day to day in a Kenyan school.
1. Start with your biggest problems, not the feature list
Every vendor will show you a long list of modules. Before you look at any of them, write down the three to five problems that cost your school the most time or money today. For many schools these are:
- Tracking fee balances and issuing receipts
- Preparing learner progress reports at the end of each term
- Keeping accurate, up-to-date student records
- Communicating quickly with parents
Use these problems to judge every system you see. A system that solves your top three problems well is better than one that does fifty things you don't need.
2. Look closely at fees and payments
Fee management is where most schools feel the impact first. During a demo, ask the vendor to show you — with real steps, not slides — how to:
- Set up different fee structures for different classes and terms
- Record a payment and produce a receipt
- See every student with an outstanding balance
- Handle partial payments, bursaries and discounts
If the system claims to integrate with a payment method you rely on, ask to see that integration working. Don't rely on a promise that it is "coming soon".
3. Check it fits the CBC structure
Kenya's Competency-Based Curriculum (CBC) organizes learning into Pre-primary (PP1–PP2), Primary School (Grades 1–6), Junior School (Grades 7–9) and Senior School (Grades 10–12). A system designed around the old 8-4-4 classes and exam rankings will create extra work for your teachers.
- Can it be set up with your grades, streams and learning areas?
- How are assessment results recorded, and can it follow the performance levels your teachers use?
- How long does it take to produce learner progress reports for a whole grade?
- Can it handle learners moving between Junior School and Senior School?
The best test is to bring a sample of your own assessment records to the demo and see whether the system can follow them.
4. Ask about your existing data
Most schools already have years of records in spreadsheets or other systems. Find out:
- Whether the vendor will help import your existing student and fee records
- What format they need the data in
- Who checks the imported data for accuracy before go-live
5. Treat data protection seriously
Schools hold personal information about children, parents and staff. Kenya's Data Protection Act, 2019 places obligations on organizations that process personal data. Ask any vendor:
- Who can access student data, and how access is controlled by role
- Where the data is stored and how it is backed up
- Whether actions in the system are logged
- What happens to your data if you stop using the system
6. Plan for training and adoption
Software only helps if people use it. Ask what training is included for the bursar, administrators and teachers, and what support is available in the first weeks after go-live, when most questions come up.
7. Understand the full cost
Ask for a written quote that shows any set-up fees, licence or subscription costs, training, data migration and ongoing support. Compare the total cost over two or three years rather than just the first payment.
8. Insist on a live demo
Finally, never buy from screenshots alone. A live demo, ideally using scenarios from your own school, is the best way to see whether a system will work for you.
Quick checklist
- List your top problems before looking at features
- See fee set-up, payments and balances working live
- Check it fits your CBC grades, assessments and learner reports
- Confirm how existing data will be imported
- Get clear answers on access control, backups and data protection
- Confirm training and post-launch support
- Compare total cost over two to three years
- Don't buy without a live demo
